Operational admin support for tech startups and scale-ups
Help for growing tech teams whose processes, systems and paperwork haven't kept up: CRM clean-up, SOPs, board packs, vendors and invoicing.
Operational admin is practical help for growing tech companies whose processes, systems and paperwork haven't kept up with the business. We clean up CRM data, write down how things get done, prepare sales and board packs, keep track of vendors and contracts, run onboarding and offboarding checklists, and coordinate invoicing. You can buy it as a monthly plan or a project, on its own or alongside a leadership engagement.
What's included
- CRM data clean-up and reporting. Removing duplicates, filling gaps and archiving records that are going nowhere, so the reports your team runs each week start from data you can trust.
- Process documentation and SOPs. Writing down how things get done, step by step, so the know-how lives somewhere other than one person's head and a new hire can follow it.
- Sales and board pack preparation. Pulling the numbers, charts and updates together before the meeting, so leaders walk in having read the pack instead of having spent the evening building it.
- Vendor, contract and subscription management. Keeping a current list of who you pay, what for and when each contract renews, and flagging the subscriptions nobody uses anymore.
- Onboarding and offboarding checklists. The same steps for every new hire, from accounts to introductions, and for everyone who leaves, from handing back equipment to switching off access.
- Invoicing and billing coordination. Making sure invoices go out, match what was agreed and get followed up when they're overdue.
Who it's for, and when it's the wrong call
It suits B2B software and tech companies somewhere between their first sales hire and scale-up, where the business has grown faster than its back office. The signs are familiar: a CRM nobody fully trusts, a process only one person knows, a board pack assembled at the last minute, and a list of subscriptions nobody can quite account for.
It's the wrong call in three situations, and we'll say so on the intro call if we think you're in one of them.
- The problem is how you sell. Clean data won't stay clean if nobody agrees what each pipeline stage means or who the ideal customer is. Those are fundamentals, and they need fixing before the admin around them. That's a job for fractional sales leadership or a revenue consulting project.
- The same task comes up every day. If your reps type up notes and update the CRM after every call, it's probably better to automate that. Call notes, deal summaries and CRM updates done for you are part of our AI for revenue teams work.
- The admin is yours personally. If your own inbox, calendar and travel are eating the week, you want virtual assistance instead.
How an engagement runs
It follows the same path as every engagement we run. First comes an intro call: thirty minutes on where you are, what's in the way and whether we're the right fit. Then we look at the systems and paperwork involved and agree a written plan with you, covering what's on the list, what finished looks like and how we'll check in.
After that we get stuck in alongside your team, with regular check-ins against the plan. When a project is done, we write down what we did and how to keep it that way, then step back. On a monthly plan, the list changes as the business does.
If we're already working with you on fractional sales leadership, operational admin can run alongside it, so the reporting and paperwork around the revenue plan get done without pulling your team away from selling.
What it costs
There are two ways to buy it. A monthly plan gives you a set number of hours each month, used however you need them, which suits ongoing jobs like reporting, vendor management and invoicing. A project has a set scope and fee, which suits one-off jobs like a CRM clean-up or writing up your SOPs for the first time. Either way, it's sized to what the business needs, and you can dial the time up or down as you grow.
Common questions
Can we hire you just for operational admin?
Yes. Operational admin is available on its own, with no leadership engagement needed. It also works alongside fractional sales leadership or an AI project, if you'd like the reporting and paperwork around that work handled too. Either way it follows the same path as everything we do: an intro call, a written plan, regular check-ins against it, and a clear handover when a project is done.
How is operational admin priced?
As a monthly plan or as a project. A monthly plan is a set number of hours each month, used however you need them, and suits ongoing jobs like reporting, vendor management and invoicing. A project has a set scope and fee and suits one-off jobs like a CRM clean-up. The size of either comes out of the written plan we agree with you before any work starts.
What's the difference between operational admin and virtual assistance?
Operational admin looks after the business: its CRM, processes, board packs, vendors, onboarding and invoicing. Virtual assistance looks after a person: a founder's or executive's inbox, calendar, meetings, travel and tasks. If your systems and paperwork haven't kept up with the company, start with operational admin. If the problem is your own week, start with virtual assistance. You can also have both.
Can you clean up our CRM data?
Yes. CRM data clean-up and reporting is part of operational admin: removing duplicates, filling gaps, archiving dead records and getting the reports your team relies on working again. One caveat. If nobody agrees what each pipeline stage means, clean data won't stay clean for long, so we'll tell you if the stages need fixing first. That's a job for sales leadership rather than admin.
Do you prepare board packs?
Yes. Sales and board pack preparation is part of operational admin: pulling the numbers, charts and updates together ahead of each meeting, so your leaders spend their time on the decisions in the pack. If you also want help choosing which revenue KPIs belong in it, and reporting that stands up to questions, that sits with our board and advisory or fractional CRO work.
