Virtual assistant for tech founders and executives

Inbox, calendar, meetings, travel, research and follow-ups handled for founders and executives who spend too much of the week on admin.

Virtual assistance is ongoing help with the admin that fills a founder's or executive's week: inbox and calendar, meetings and follow-ups, travel, research, documents and team deadlines. We take those jobs on so you can spend the hours on growing the business. It's bought as a monthly block of hours, and it's available on its own or alongside a leadership engagement.

What's included

  • Inbox and calendar management. Sorting what needs you from what doesn't, keeping the calendar in order, and protecting the time you've set aside for selling, hiring and thinking.
  • Meeting scheduling, notes and follow-ups. Finding times that suit everyone, writing up what was agreed and making sure the follow-ups go out, so decisions made in a meeting don't disappear after it.
  • Travel and event booking. Flights, hotels, conference passes and the logistics around them.
  • Research and prospect list building. Background on companies and people before a meeting, and lists of accounts and contacts that fit your ideal customer profile. If you want account research running at scale, that's a build, and part of our AI for revenue teams work.
  • Data entry and document formatting. Getting information into the right system, and making proposals, decks and reports look finished.
  • Keeping team tasks and deadlines on track. Tracking what's due, who owns it and what's slipping, and giving people a nudge before a deadline goes by.

Who it's for, and when it's the wrong call

It's for founders and executives at B2B software and tech companies whose admin, scheduling and back-office jobs are eating the hours they should spend growing the business. If you're still closing deals, hiring and reporting to a board, and the admin around all of that has started to win, this is for you.

It's the wrong call in a few cases, and we'd rather say so up front.

  • The mess is in the company's systems. A CRM nobody trusts, processes that live in one person's head and board packs built at the last minute are operational admin jobs.
  • You need someone to run sales. An assistant can keep your pipeline reviews booked and the notes written up. Leading the team, owning the forecast and fixing the sales process is a job for fractional sales leadership.
  • You want outreach at volume. We'll happily build a list of the people worth talking to. If the plan is to send all of them the same email, we'd try to talk you out of it, because more activity won't fix your pipeline.

How an engagement runs

It follows the same path as everything we do. First comes an intro call: thirty minutes on where you are, what's eating the week and whether we're the right fit. If we're not, we'll say so.

Then we agree a written plan with you, covering which jobs we're taking on, how you like things done and how we'll check in. After that we get stuck in, with regular check-ins against the plan, and the list of jobs changes as your week does.

If we're already working with you on fractional sales leadership, an assistant can handle the admin around it: booking the pipeline reviews, writing up the notes and chasing the follow-ups.

What it costs

Virtual assistance is bought as a monthly block of hours, used however you need them. The size of the block comes out of the plan we agree at the start, scaled to what you need, and you can dial it up or down as the business changes.

Common questions

What does a virtual assistant do for a startup founder?

They take on the admin that fills a founder's week. With us that covers inbox and calendar management, scheduling meetings, writing up notes and chasing follow-ups, booking travel and events, research and prospect list building, data entry and document formatting, and keeping team tasks and deadlines on track. The point is to give you back hours for growing the business.

How is virtual assistance billed?

In a monthly block of hours, used however you need them. One month might be mostly travel and an event, the next mostly research and scheduling, and the block covers both. We size it to what you need in the written plan we agree at the start, and you can dial it up or down as the business changes.

Can we hire a virtual assistant without a leadership engagement?

Yes. Virtual assistance is available on its own, with no leadership engagement needed. It also sits well alongside fractional sales leadership or an AI project, if you'd like the scheduling, notes and follow-ups around that work taken care of. Either way it starts with an intro call, so we can both check we're the right fit before anything else happens.

Can a virtual assistant help with sales prospecting?

Yes, with research and prospect list building: finding the accounts and contacts that fit your ideal customer profile and putting them into a list your team can use. A short list of people who fit beats a long one, so it starts with who you're trying to reach. If you want account research running at scale, that's a build, and it belongs with our AI for revenue teams work.

Should we choose virtual assistance or operational admin?

Choose virtual assistance if the problem is your own week: inbox, calendar, meetings, travel and follow-ups. Choose operational admin if the problem is the company's systems and paperwork: CRM data, SOPs, board packs, vendors and invoicing. Both are available on their own or alongside a leadership engagement, and you can have both at once if the admin is piling up in both places.
